This job aid lists the step by step instructions showing users how to setup their OneDrive to sync their files, and how to move their files from their H Drive to their OneDrive.

Section I: Setting Up One Drive

  1. Select the Start button, type "One Drive", and then open OneDrive for Business

  2. When OneDrive Setup starts, enter your personal account, or your work or school account, and then select Sign in.

  3. Enter your assigned credentials i.e. jsmith@inghamisd.org
  4. There are two screens in OneDrive Setup that are helpful to watch for:
  5. One the This is your OneDrive folder screen, select Next to accept the default folder location for your OneDrive files. If you want to change the folder location, select Change location – this is the best time to make this change.

  6. On the Sync file from your OneDrive screen, choose the folders you want to sync, and select Next. This helps control the amount of space OneDrive files take on your computer and conserves bandwidth during sync processes. You can change this late in Settings, but this is a good opportunity as well.

  7. If you were already syncing OneDrive for Business to your computer (using the previous sync client) and you've just installed the OneDrive desktop app, you won't see the This is your OneDrive folder or the Sync files from your OneDrive screen during OneDrive Setup. The OneDrive desktop app automatically takes over syncing in the same folder location you were using before. To choose which folders you're syncing, right-click the blue cloud icon in the taskbar notification area, and select Settings > Account > Choose folders

  1. Open File Explorer
  2. There will now be an OneDrive folder in File Explorer

    *You now have a new white or blue cloud icon (or both) in your notification area and your files are synced to your computer. Your blue cloud icon will appear as OneDrive – \[YourTenantName\] when you hover over the icon*




  4. Any time you want to change the folders you sync on your computer, right-click that cloud icon in the taskbar notification area, and select Settings > Account > Choose folders. Find other information about your account and change other OneDrive settings from here

Checking Synced Files

  1. When you save your files to OneDrive, you can get to them from anywhere and your files are safe in OneDrive if anything happens to your device.
  2. Open File Explorer
  3. Type Ctrl+N – this will open another File Explorer window
  4. Click on One Drive on the left hand side of the File Explorer screen

  5. Click on the arrow to populate all of the synced folders
  6. Open the second File Explorer
  7. Click on the Folders on within your File Explorer that you are comparing

  8. Click on each of the folders within the OneDrive and double check that the files are in both OneDrive and on your computer
  9. The documents within Desktop, Downloads, and Documents should match the documents within the same folders under One Drive (Image below)
